We are looking for a Recruitment & Administration Specialist to join Baloise Solution Hub, part of the Helvetia Baloise Group.

We are based in Warsaw, but we work closely with colleagues from across the Group in different countries. Locally, as People & Operations, we are a team of three - and we can’t wait to welcome a new colleague to our crew!

 

What would you be responsible for?


Your role will combine end-to-end recruitment with internal HR and office administration tasks. We’re looking for someone who enjoys connecting with people, can manage multiple priorities and wants to create a great employee experience.


  • Recruitment responsibilities

    • Managing the entire recruitment process from start to finish

      You’ll handle everything from writing job ads to onboarding new hires. This means being the main point of contact for candidates and ensuring a smooth experience.

    • Gathering requirements and understanding hiring needs

      You’ll work closely with managers to define what we’re looking for and proactively analyze future recruitment needs.

    • Writing and publishing job advertisements

      Good ads matter. They're often the first impression candidate have of us, so you'll make sure they're clear and inviting.

    • Actively sourcing candidates

      Sometimes the best people aren’t actively looking. You’ll reach out and start conversations that could lead to great hires.

    • Keeping candidates informed at every stage

      Waiting without updates is stresfull. You'll make sure communication is timely and respectful.

    • Preparing offers and coordinating onboarding steps

      Once we find the right person, you’ll handle offer details and ensure a smooth start with support from our HR team.

    • Analyzing recruitment data and metrics

      Numbers tell a story. You’ll use data to see what works, what doesn’t, and how we can improve.

 

  • Internal HR & Administration tasks

    • Coordinating the travel management system

      You’ll make sure business trips are organized efficiently and employees have the support they need.

    • Managing employee benefits and liaising with providers

      Benefits are part of how we care for our team. You’ll keep them running smoothly.

    • Preparing HR documentation

      Accuracy matters here - you’ll ensure all documents are correct and compliant.

    • Organizing company events and team-building activities

      You’ll help create moments that bring people together and strengthen our culture.

    • Handling office purchases and creating gift packages for employees

      From practical supplies to creative surprises - small details can make a big difference in how people feel at work.

    • Documenting and improving HR processes

      You’ll keep things clear and structured, making it easier for everyone to follow.

 

Who are we looking for?


This role is for you if you:

  • Have experience managing multiple IT recruitment processes at the same time

    You feel comfortable handling several roles in parallel and keeping track of each stage.

  • Communicate fluently in English (C1) and Polish

    Clear communication matters - both with candidates and internally.

  • Like improving the way you work

    You look for ways to make processes smoother and more efficient (incl. using available tools and AI).

  • Are well-organized and detail-oriented

    You can plan your tasks independently and make sure nothing falls through the cracks.

  • Can carry out numerous small tasks across various topics and effectively track them

    This role involves variety - you’ll need to stay on top of different priorities.

  • Communicate in a clear, direct and effective way

    You value transparency and simplicity in conversations.

  • Are open to learning new things

    We’ll support you, but curiosity and adaptability are key.

  • Are open to work from office at least few times a month

    Some tasks and team moments work best in person, so flexibility here is important.

How will the recruitment pocess look?

  • First meeting – about 1 hour with your future Lead

  • Second meeting – about 1 hour with the Head of People & Operations
