Position Overview:
👉 As Head of HR, you'll lead our polish HR department, overseeing vital responsibilities crucial to our organization's smooth operation. Your role encompasses team management, compliance, process improvement, employee support, and aligning with global initiatives. Your focus will be on efficiency, legality, and employee satisfaction, ensuring our HR operations foster a thriving work environment.
Responsibilities
- Team management (2 people - 1 HR administration, 1 soft HR)
- Ensuring the accuracy of data provided for payroll input, verifying payroll prepared by an external company
- Identifying and seeking opportunities to improve the work of the P&C department (creating checklists, instructions, manuals, improvements in the time tracking system, etc.)
- Monitoring changes in labor law regulations and appropriately implementing them in the organization, updating work regulations, compensation, remote work policies, procedures, forms, and taking care of the communication to employees
- Responding to employee inquiries (second-level support), as well as other local supporting functions (Client Partner, Talent Acquisition, etc.)
- Administering the offboarding and onboarding process, conducting onboarding presentations on HR processes
- Ensuring the correctness of documentation related to employment (contracts, amendment agreements, employment certificates, terminations, etc.)
- Ensuring the timeliness of medical examinations for employees, BHP training, PPK submissions, employment contracts, etc.
- Administering B2B contracts and updating their content based on organizational needs
- Creating new documents and agreements as per business needs (e.g., loyalty agreements) in cooperation with legal counsel
- Responsibility for compliance with GDPR (General Data Protection Regulation) regulations, participation in annual audits
- Managing employee benefits, updating costs based on changes in benefit prices, verifying invoices from benefit providers and other P&C-related service providers
- Preparation of periodic and ad hoc reports
- Responsibility for the legalization of work of existing foreigners working in the company and those starting the work in the company
- Being a point of contact for employees in other company branches relocating to Poland, as well as for Talent Acquisition / P&C teams from other branches regarding local labor law and employment-related principles, primarily cooperating with the P&C department in the Ukrainian branch to standardize procedures and processes
- Consultations on HR initiatives regarding employee engagement, employer branding, etc.
- Conducting summary meetings with internal department employees
- Participation in global projects initiated by the managing company, implementing global processes into local organizational structure (e.g., global HR system)
- Providing personnel data for GUS reporting purposes
- Being a back-up for the team members in their absence (both in HR administration and soft HR areas)
- Annual tasks including controlling the use of accrued leave, determining days off in lieu of holidays falling on Saturdays, preparing forms for the next year, etc.
- Participation in other projects and tasks as per organizational needs - e.g., company name change
Qualifications
- Experience in managing a small team
- Practical and up-to-date knowledge of labor law, including the specifics of different types of contracts (employment contract, B2B contract, mandate contract), as well as basic principles of salary calculation
- Awareness of the latest HR trends and practices, ability to promote and implement new initiatives
- Ability to build relationships within the organization at all levels, interpersonal and organizational skills
- Strong customer orientation and business awareness
- Very good command of English (knowledge of Ukrainian is considered as a huge plus)
- Flexibility and positive attitude towards challenges, willingness to develop in a dynamically evolving organization, ability to independently organize work and set priorities
