Working within our HR team you will be responsible for coordinating all HR related aspects.

As our Senior HR Administration Specialist, you will:
• Support employees and line managers in payroll related questions as well as advise on Polish labour law, remuneration, contracts, time sheets and other HR related topics
• Ensure regulatory compliance with legal requirements pertinent to the day-to day management of employees, including legality of foreigner’s stay in Poland, supporting with work permission process, cooperating with the Office of Foreigners
• Manage HR documentation from Hire-to-Rehire processes, preparation of contracts and other documents
• Manage the payment process (payroll list calculated by an outsourced company): preparation (on a monthly basis) of all the necessary documentation for pay list calculation and transfer to the outsourced company, data checking
• Complete, verify and update Personal Files regarding new joiners, leavers and employee’s data
• Cooperate with and representing the Company in the Tax Office, ZUS, courts, in front of the national labour inspection, and other authorities
• Prepare HR and business reports
• Ensure relevant HR databases are up to date, accurate and comply with legislation
• Monitor and administer all processes in Workday (an internal software solution for financial management, human resources, and planning)
• Manage the Social Fund, PPK and benefit package
• Daily cooperate with payroll vendor, Finance Department and other providers
• Communicate internal HR regulations and procedures
• Actively participate in different HR projects

Experience and skills required:
Min. 3 years of experience in Polish Payroll and HR Administration
Fluent in Polish and English, both verbally and written communication
• Experience in the process of employing foreigners will be a plus
• Basic knowledge of Workday system is nice to have
• Knowledge of Polish labour law and payroll rules
• Good knowledge of MS Office, excellent Excel skills
• Experience in work for international organisation
• Excellent interpersonal skills
• Ability to adapt and make decisions in a dynamically changing work environment
• Strong team player
• Flexibility and willingness to learn
• Ability to prioritize tasks and work to meet tight deadlines and manage multiple tasks
