🟣 About the Role
We are looking for a Junior Office Coordinator who will be responsible for two main areas:
- Office. You will oversee that our office is working effectively and is a place with great atmosphere to work in
- Team offline and online integrations. Since our team is working remotely and meets frequently during online and offline events you will be working closely with the P&C team to make sure the integration events are well-thought, organized and serve its purpose.
This role is a great opportunity for a creative dynamic person with first office management related experience. Someone, who is thinking about gaining more experience in the People and Culture Team in the startup environment and is focused on development specifically in the office management area. In this job you will be exposed to integration events organization, office management, handling multiple tasks and run projects end-to-end.
🟣 Key Responsibilities:
- General office duties and office supplies (stationery, accessories, #swag), office management, being first point of contact for employees,
- Travel management and delegation calculations,
- Supervision of vendors documentation (invoices, contracts, bills etc.),
- Meetings and conference rooms reservations,
- IT Manager support in company hardware distribution,
- Team integrations management including coordinating the team, handling the communication and support the team while organizing the event,
- Coordinating and organizing online and offline team events,
- Packages delivery management,
- Management and distribution of incoming and outgoing mail
🟣 Requirements:
- Attributes
- Previous office management or administrative experience,
- “No task too big, no task too small” approach,
- Excellent organizational and planning skills: taking ownership, managing own workload,
- Readiness to grab a phone and make some quick arrangements,
- Very strong attention to details and a strong commitment to quality,
- Willingness to learn and to improve processes,
- Problem-solving attitude,
- Excellent written and verbal language skills in Polish and English,
- Great interpersonal skills: communicating in a clear way and cooperating effectively with employees and managers,
- Trustworthy and able to exhibit a high level of confidentiality,
- Skills and systems
- Slack and G-Suite (email, calendar, drive)
