For our Client, well-known Company based in Gdansk, we are looking for a reliable person to take the position of Receptionist and Secretary in the modern office.

JOB DESCRIPTION:

• Administrative and office service at the reception desk and running the secretary’s office.
• Receipt and registration of incoming and outgoing correspondence, courier shipments, issuing of documents: KP, KW, cash register service.
• Support for company employees in current administrative work.
• Keeping, updating the meeting schedule and formal commitments of the Company’s Management Board.
• Keeping, segregating and archiving contracts and other documents regarding the Company’s operations.
• Ensuring proper and timely circulation of Company information and documents.
• Keeping a correspondence log of incoming and outgoing mail.
• Assignment of letters and transmission according to competence as agreed.
• Preparation of a portfolio of documents for signature for the Company’s Management Board according to the hierarchy of importance.
• Organization of business trips for superiors and colleagues.
• Receiving and making phone calls.
• Support for electronic mail program and program for registration and circulation of documents.
• Service of guests as well as external and internal clients of the Company, service of company     meetings.
• Taking care of the company’s image.
• Keeping information confidential.
• Implementation of activities described in the Quality Management System documentation.

REQUIREMENTS:

• Secondary education – bachelor’s degree (higher education is welcome).
• Minimum six months of work experience in a similar position.
• Practical knowledge of MS Office and office equipment support.
• Knowledge of English at a level that allows free communication (knowledge of other languages ​​will be an advantage).
• Knowledge of the Comarch program in the field of cash register reporting is welcome.
• High communication skills, independence, reliability.
• Ability to organize work.
