ROLE OVERVIEW

We’re hiring an Office Management Lead in Warsaw to take full ownership of office operations across Poland and Ukraine. This role combines hands-on office management with strategic process-building — ensuring our workplaces run like well-tuned systems. You’ll directly manage the Warsaw office, while also leading and coordinating the Kyiv office management team.

This is a senior role: we expect not only operational excellence but also the ability to structure processes and be ready to roll up your sleeves when needed.


🚀  WHAT YOU WILL DO:

  • Oversee office management across Poland and Ukraine, ensuring order, efficiency, and a strong workplace culture.

  • Lead and coordinate administrative and support functions, including contract/document management and compliance tasks.

  • Organize office events and initiatives that strengthen team spirit and collaboration.

  • Build and optimize office management processes across locations, ensuring alignment with Ops, Legal, and Finance.

  • Manage the Kyiv office manager, while staying hands-on with Warsaw operations.

  • Handle ad hoc requests and projects with speed and precision.

  • Senior-level experience in office management or administration, with proven ability to own a cross-country function.

  • Strategic mindset with process-driven thinking, paired with readiness for hands-on work.

  • Strong sense of responsibility, accountability, and resilience under pressure.

  • Languages: Polish (fluent/native), English (Upper-Intermediate+), Ukrainian (Upper-Intermediate+).

  • Excellent multitasking, communication, and organizational skills.

  • High integrity, diligence, and ability to work independently while aligning with leadership.
