Job Overview:

We are seeking an organized and proactive Recruitment Coordinator to support our recruitment team in delivering an exceptional candidate experience and ensuring operational efficiency throughout the hiring process. This role will focus on coordinating interview schedules, maintaining accurate candidate data, managing communication with external platforms, and supporting recruitment activities for our two-person team. As a key player in the hiring process, you’ll help streamline administrative tasks, assist with initial candidate screenings, and facilitate feedback flow and timely decision-making.

Key Responsibilities:


Interview Coordination:

  • Schedule and organize all recruitment-related meetings, ensuring alignment between candidates and hiring teams.
  • Manage calendar availability and logistics for interviews.
  • Act as the primary point of contact for candidates throughout the scheduling process, providing timely updates and support.

Database Management:

  • Maintain and update the applicant tracking system (ATS) with accurate candidate data and status changes.
  • Ensure data integrity within the system and generate reports to support hiring decisions.

Communication and Collaboration:

  • Act as the liaison between the recruitment team and hiring managers to ensure smooth communication and alignment on recruitment priorities.
  • Collaborate with external job posting platforms to ensure job roles are advertised effectively and remain visible to the right audience.

Administrative Support:

  • Assist the recruitment team with drafting and posting job descriptions.
  • Track and report on recruitment budgets, ensuring alignment with hiring targets and costs.
  • Prepare summaries of candidate pipelines, interview outcomes, and recruitment metrics for team updates.

Candidate Engagement:

  • Conduct initial screening calls with candidates to assess basic qualifications and fit for the role.
  • Ensure timely and clear communication with candidates regarding interview feedback and next steps.

Feedback and Decision Flow:

  • Monitor and facilitate the flow of feedback from interviewers to the recruitment team.
  • Track decision timelines to ensure hiring managers remain aligned with recruitment deadlines.

Process Improvement:

  • Proactively identify opportunities to improve the efficiency of the recruitment process and candidate experience.
  • Assist in creating and maintaining templates and documentation to support recruitment operations.


Qualifications:

  • 2+ years of experience in recruitment coordination, talent acquisition, or a related administrative role.
  • Strong organizational skills with the ability to manage multiple priorities and meet tight deadlines.
  • Excellent communication and interpersonal skills, with a candidate-centric mindset.
  • Proficiency in using applicant tracking systems (ATS) and other recruitment tools.
  • Analytical mindset with experience generating reports and insights from recruitment data.
  • Proficiency in MS Office (Word, Excel, PowerPoint) or Google Workspace.
  • Experience in managing communication with external vendors or platforms is a plus.
